Ideas for configuring table actions in your Solutions

Among the configuration options offered by the MasterBase® SmartView Wizard, there are several abilities.

One of them is the Table skill, which is a powerful tool for both displaying and managing records in a database.

Depending on the number of columns we set in its configuration, a table can show only part of the information or all the information of the available records. This means that our table may have only two or three fields (columns) or dozens of fields of information related to each record.

A table can also contain an Actions button next to each record, which allows you to manage the data directly from the table. The options are many and depend on what you are able to imagine; in this space, we share with you some ideas of possible actions to configure.

1 Edit a record in a form:*

If you add the "Edit" option to the Actions button of your table, when the user clicks on it, the system will redirect him/her to a form that displays all the data of the selected record. In this form, it is possible to modify one or several fields of information as needed. This function is useful for updating data in an accurate and organized way.

2 Download a file associated with the record:

Another possibility is to allow the user to open or download files that are linked to a specific record. You can do this with the "Link" action. If a record contains a link to a file, you can use this action to access the file directly from the table, thus facilitating the management of associated documents and resources.

3 Revert to a previous state:*

The option to revert a record to a previous state is useful when we need a process to be re-executed and the data to be re-analyzed. This action is possible through the appropriate configuration of an AOD (Automaton OnDemand), which, for example, searches the database for a date of change of state or a certain value in a field, to restore the previous state of the record, thus facilitating the management and correction of data.

In this way, a simple table can be transformed into a highly productive tool for record management, providing great flexibility in the visualization, modification and management of information within the databases.

Let's look at these ideas in practice:

Suppose our company manages a large number of projects. In our database, each project has a record with information such as the project name, the person in charge, the start date, the current status, and associated documents such as contracts and reports.

1. Edit a record on a form:

If the person responsible for a project changes, we can select the project record, click on "edit" and update the person responsible field in the form. This ensures that the information is always up to date and correct.

2. Download a file associated with the registration:

If we need to review the project contract, we can search for the project record in the table and use the option to download the associated file. This allows us to quickly access the required document, without having to manually search for it in different folders.

3. Revert to a previous state:

If, for some reason, a project must return to a previous phase, we can use the revert to previous state action. The AOD that we have configured for this purpose will query the database according to the parameters we give it and modify the record, reverting it to its previous state. This facilitates the management of the process and ensures that all information is aligned with the new project status.

These examples show how tables can simplify and improve record management in a database, making daily operations more efficient and organized.
